By registering for the Event, you are providing us with your personal data and contact information as requested in the online registration form or in any other way, such as by telephone, email or personally. Other people may provide information on you as requested in the online registration form.

The data collected in the registration form includes:

    • your full name;
    • your job title;
    • your organisation name and adress;
    • your organisation type and job role;
    • your phone number;
    • where you heard about the event;
    • your organisation address and region;
    • your email address;

If you contact us by means of a form on the website, in person, by telephone or by email, we will store and use the data you provide for the purpose of processing your enquiry and, in the case of follow-up enquiries, for (i) the period required by law, or (ii) until the relevant purpose for which the specific data was provided no longer exists. We will not pass on this data without your consent. We also use cookies and flash cookies and receive certain information when your web browser opens this website or advertisements and other content provided by or on behalf of KFV on other websites. This includes your IP address and IP location; referrer URL (the website visited before and after), number, duration and time of visits (your interaction with the website), search engines and keywords you used to find us, browser type, screen size and operating system. The collected data is only stored in an aggregated and therefore not individually assignable form.

  • Mobile: If you download or use apps from KFV (e.g. Stop&Go or Drive&Help) or KFV Sicherheit-Service GmbH and have activated location-based services or have agreed to them, you may thereby transmit information to us about your location and the terminal device you are using, among other things, as well as an identification number that can be clearly assigned to your terminal device. We may use this information to offer you location-based services. With most terminal devices it is possible to switch off these location-based services.

Purpose of the processing:

We use your personal data to hold the Event, and this will include to:

  • register and facilitate your attendance at the Event (incl. processing of payments);
  • analyse attendance at and any subsequent marketing communications in relation to the Event;
  • provide you with updates and details relating to the Event;
  • manage delegates, sponsor and customer contacts, queries, complaints or disputes;
  • take photographs and record videos of the Event, and to produce promotional material to advertise the Event and to promote future events; and
  • handle any legal claims or regulatory proceedings and ensure legal regulatory compliance;
  • communicate with you about similar events we intend to hold in the future or to send newsletters or event invitations and to update our records;
  • prevent or detect misuse, especially fraud, or to enable third parties to perform technical, logistical or other services on our behalf.

Legal basis of processing your personal data for the Event:

The legal basis relied on by us for processing your personal data in relation to holding the Event, and promoting it, is out of necessity for the performance of a contract to which you are a party, which is your registration for the Event.

We may photograph or film some of the Event, which may feature group shots of event attendees. The legal basis relied on by us for processing your personal data in relation to taking photographs and recording videos of the Event is legitimate interests. The legitimate interests are in having a record of the Event and the means to promote the Event, including in future years.

What are cookies and which cookies do we use:

Our websites use cookies. We use the following cookies on all of our websites and apps, except for those websites with their own separately listed cookie policy. Cookies are small text files that are stored on your terminal device with the help of the browser. They do no harm.

  • Service provider:We commission other companies and individuals to perform tasks for us. Some examples of this include transport companies/forwarding agents commissioned by us for the delivery of goods, letters or emails, the maintenance of our customer lists, the analysis of our databases, passing on information to our tax advisor to fulfil our tax obligations, advertising measures (incl. the provision of search results and links). These service providers have access to personal information needed to perform their tasks. However, they may not use this information for other purposes. Furthermore, they are obliged to treat the information in accordance with this Privacy Policy and the relevant data protection laws.
  • Compliance with our legal obligations:We disclose personal data about customers if we are legally obligated to do so or if such disclosure is necessary to protect our rights as well as the rights of our customers and those of third parties or to enforce our possible general terms and conditions or other agreements. This includes the exchange of data with companies that specialise in preventing and minimising abuse and credit card fraud. We explicitly wish to make it clear that in this context, no data are passed on to these companies for commercial use, which is in contradiction to this Privacy Policy.

Storage period of the information received:

  • If you contact us by means of a form on the website, in person, by telephone or by email, we will store and use the data you provide for the purpose of processing your enquiry and, in the case of follow-up enquiries, for (i) the period required by law, or (ii) until the relevant purpose for which the specific data was provided no longer exists.
  • If a purchase process is aborted, regardless of whether it is for a service or product, the data stored by us will be deleted. In the event of a contract being concluded, all data from the contractual relationship will be stored until the expiry of the tax law retention period (10 years).
  • The data regarding name, address, purchased goods/services and date of purchase are stored until the expiry of the product liability (10 years).  The data processing is based on the legal provisions of § 96 (3) TKG and art. 6 (1) (a) (consent) and/or (b) (necessary for the performance of the contract) of the GDPR.

Usage of Google reCAPTCHA:

To secure and protect your user experience while visiting our website, we use Google reCAPTCHA. Google reCAPTCHA helps to prevent malicious software from engaging in abusive activities on our website (e.g. fraud).
